A policy defining best minimum standard for learning and communicating excellence based on the principles of Dr. Adrian Plunkett3 was introduced in the network in October 2018. A Standard Operating Procedure (SOP) outlining processes and responsibilities and a guideline establishing the method of communication of excellence in 16 languages were launched in the network in paper format. To migrate this system to a digital platform, a clinical, operational and digital teams working group was formed. The pathways outlined in the SOP were converted into a process map (Fig. 1) defining levels of responsibility and actions required at each stage. The web-based demo environment (Fig. 2) was GDPR compliant and was developed in four weeks and allows access from both desktop and mobile devices.
An excellence report is a 'well done' sent anonymously to a colleague for their work in relation to attention to detail, communication, going the exta mile, knowledge, team work, peer support or anything else deserving aknowledgement. Excellence proposals (Fig. 3) can be submitted by all Affidea personnel. Each proposal should include the person nominated for excellence, the area of excellence and what they did that was excellent. The proposal is submitted for review to the country quality manager (Fig. 4) and can either be approved or returned to the proposer for clarifications or rejected. If approved, the country quality manager must include the learning points from this event and suggest ways to make more of this happen.
The Excellence Report is shared by the country quality manager with the excellence nominee, his/her manager, the group human resources manager, group quality manager and group clinical governance lead.
To collate and analyse the data registered in ALES, a PowerBI based analytics tool was used to create a dashboard.
