Methods and materials
In 2015,
a spreadsheet was developed to accurately record the number of screened patients per clinical trial and document reason(s) for ineligibility using a list of pre-defined reasons.
In the same year,
a Screening Assessment Tool was created in the oncology electronic medical record system,
MOSAIQ (Figure 1).
This tool was designed to be completed for all new patients seen in the Radiation Oncology clinic by clinicians,
to document patient’s eligibility for clinical trials.
In 2017,
a customised MOSAIQ report was developed to pre-screen patients for clinical trials before they were seen in clinic.
This report provides a list of all new patients to be seen in clinic in a given week.
The report was generated multiple times a week to ensure all new patients were flagged to the clinical trials team.
The reports generated include a prospective report for the following week,
prospective reports on days 1 and 3 during the week to account for last minute bookings and then a retrospective report at the end of the week to ensure all patient appointments were captured and all patients screened for eligibility for a clinical trial.
All members of the clinical trials team were trained to generate and assess the report.
The number of screened patients per trial and per clinician was reported and distributed monthly.
Clinical trial screening and participation were assessed from Cancer Institute New South Wales (CINSW) reports.
